Task Description

Follow the steps to generate the HTML for the prospect survey form.  The user's webmaster uses the generated HTML code for publishing the survey form directly within the user's web site.

Admin > Projects > Project Settings > Generate BTWebkit Prospect Form > Setup > Step 1

Steps

  1. Using the text field, enter the Server URL/Hostname information, which is the URL of the server  where the Web form will reside.  The BuildTopia application checks this URL to ensure that the data is generating from the correct location.  Note: BuildTopia checks the server's IP address for all submitted survey forms to ensure a match with the DNS lookup of the server URL.  This prevents data from entering the BuildTopia application from an unrecognized location.
  2. Using the text field, enter the Return URL information, which is the Web page to which the prospect will be redirected once the survey is submitted.
  3. Use the pull-down menu to select the Associated Sales Rep. This specifies the sales rep to whom all web leads will be associated and can be changed on a per project basis after the lead is accepted within the BuildTopia application.
  4. Use the pull-down menu to select the Prospect Code. This specifies the prospect type code for campaign follow-up purposes and can be changed on a per project basis after the lead is accepted within the BuildTopia application.
  5. Select the checkbox to indicate you wish to Include All Projects on the HTML form. This will allow prospective buyers to choose if they are interest in multiple communities. The Prospect will show up in each project's WIK lead pool. However, the survey information will only be copied to the project that the code was generated from. NOTE: The prospect code for the other projects will be "Unassigned". The Sales rep goes to whoever is selected in the WIK process for the other projects. If the WIK wizard has not been completed in the other projects and selected a specific user it will be the first name on the list which is sorted alphabetically by last name.
  6. Use the pull-down menu to indicate Email Type. Leave the default to respond with an HTML to the prospect. Change the selection to Text if you want to send a plain text response or select 'No Email' to not respond with an email at all.
  7. Using the text field, enter the Email From information, which is the email address that will be displayed in the "From" field of the return email.
  8. Using the text field, enter the Subject information, which will be displayed in the "subject" line of the return email.  Tags, such as those listed below, may be used in the Subject text field for more customized communication.
  9. Using the text field, enter the Email Message, which will be an auto-generated return email when the survey is submitted.  Tags, such as those listed below may be included in the message.
  10. Use the pull-down menu to indicate Email Type for the Email Notification message that will be sent to the Associated Sales Rep. Leave the default to respond with an 'HTML' to the sales rep. Change the selection to 'Text' if you want to send a plain text response or select 'No Email' to not respond with an email at all.
  11. Enter additional email addresses for others you wish to receive notification by Email that a WIK Prospect form has been entered from the builder's website.
  12. Using the text field, enter the Email Notification Message, which will be an auto-generated email to the Sales Rep and other selected Email addresses when the survey is submitted.  Tags, such as those listed below may be included in the message.
  13. Select Save and Select Questions button, or Cancel to return to previous screen.

Admin > Projects > Project Settings > Generate BTWebkit Prospect Form > Step 2

The following message displays: "Prospect Form Settings Successfully Updated".

Steps

  1. Select Prospect Questions, which are pre-defined within the BuildTopia application and cannot be edited by the user.
    1. Select the checkboxes to Add and Require desired questions be included in the web survey.
    2.  Last Name andFirst Name are the only system-required questions.  Note: Within the user's website, a pop-up message appears to prompt the prospect to complete any missing required field in order to complete the survey registration.
  2. Repeat Step 1 for the Survey Questions.  Questions displayed come from Company Questions (managed in Admin > Company Setup > Company Questions) or from Admin > Projects > View > Edit Survey.
  3. Select Save and Generate HTML button to proceed, or the Back or Cancel button to return to previous screen.

Note: Company Questions appear first in the list of available questions, in the order established in Admin > Company Setup > Company Questions.

The following message displays: "Prospect Form Questions Successfully Updated".

Steps

  1. Right-click in the Generated HTML window.
  2. Select Select All from the pop-up window.
  3. Once more, right-click in the Generated HTML window.
  4. Select Copy from the pop-up window.
  5. Minimize the BuildTopia browser window.
  6. Open a new Word document.
  7. Right-click in the document window.
  8. Select Paste from the pop-up window.[
  9. Select File from the toolbar, then select Save from the pop-up window.
  10. Confirm the File Name.  For example: HTML Code Thank You Auto Response
  11. Select and note the folder or location where the document will be saved.
  12. Select Save.
  13. Maximize the BuildTopia browser window.
  14. Select Preview HTML Button to see the web form displayed, or the Back button to return to previous screen. Select Exit button to finish the web form process.
